Your information, with clear boundaries.
We explain when a draft stays on your device and when a submitted request reaches RobotCan.
AI Robot inquiries
You can submit an AI Robot inquiry without an account. We store the business and contact details, website if supplied, proposed setting and customer questions so authorized RobotCan operations can review the request and reply by email. The operations team receives an email notification. Do not include private customer information or confidential material.
Inquiry drafts
Customer and provider forms save drafts in this browser’s local storage when you save or continue to account access, organization management or customer submission. Saving alone does not submit a job. Provider inquiries remain local. Drafts remain until you clear the saved draft or clear browser data. Anyone using the same browser profile may be able to access saved details. A successful formal customer submission clears its local draft when browser storage permits.
Business website input
The AI Card builder and optional business scan accept a website or description. When you request an analysis, the input and readable public website content are sent to our configured AI provider. Do not enter confidential information or individual health information.
AI opportunity scans
Website scans read a limited number of public pages and send extracted text to our AI provider. Follow-up answers are also sent to the AI provider when you personalize an AI opportunity. Results remain in browser session storage. When you are signed in, the input, result and follow-up answers are also saved to your private workspace so you can return to them and RobotCan operations can evaluate result quality. If you request a detailed human review, the selected opportunity and answers are linked to that submission. When you continue to an AI Card request, the business summary and selected opportunity may be carried into the form so you do not have to enter them again. You may also review and submit product details with that request. If you own an existing business Agent, you can explicitly save confirmed products directly to it; those products then become available in its live answers. To monitor reliability, RobotCan records whether a scan succeeded, its processing stage and duration, and the website hostname and fixed error category when applicable. This operational record does not include anonymous visitors’ IP addresses or the business description they entered. To enforce the hourly scan limit across application instances, the server stores a keyed one-way request token and expiry; it does not store the underlying address in the rate-limit table, and expired entries are removed automatically.
Earlier RobotCan Learn requests
The public RobotCan Learn request form is no longer offered. Earlier requests stored a name, work email, business name, website, business type, main goal and optional notes. Authorized RobotCan operations use this to assess fit and contact you about scope, timing and payment. Submitting the form does not charge you. Accepted customers receive a time-limited private link for an operational discovery questionnaire. Those answers may be sent to the configured AI provider when an operator generates a roadmap draft. A RobotCan operator must review and approve the draft before delivery. To fulfil the program, authorized operations may record payment status and a transaction reference, private links to the course, field manual and toolkit, and session details. RobotCan does not store payment card details. Delivered program materials remain available through a refreshed private link for 90 days. Do not include customer health records or other sensitive personal data.
Earlier RobotCan Launch inquiries
Project inquiry forms store your contact and business details, selected goal, current systems or site context, working budget range, timing and optional project notes. Authorized RobotCan operations use this information to assess fit and contact you about a possible discovery conversation. Submitting an inquiry does not create a purchase, proposal or appointment. Do not submit customer records, health information, passwords, API keys or other sensitive credentials.
AI Cards
To suggest card ideas, we read limited public pages from a website you enter or use the business description you provide, then send that text to our configured AI provider. The suggested ideas and generated card preview are editable drafts, not verified product claims. If you submit a card request, your selected idea, edited draft and any product details you confirmed after a scan, when present, are stored with your business and contact details for authorized RobotCan operations to review. You can also submit a request without generating or selecting an idea.
Public AI Cards show content confirmed by an authorized business administrator or RobotCan operations. When you ask a card a question, we send that question and the card’s approved source text to our configured AI provider to produce a short reply. Do not enter private health information, passwords or other sensitive details. We count card views, sharing actions and action-button clicks. For AI questions, we store the answer category, broad topic and a service error category when applicable, but not the question text. If you choose to send an unanswered question for human follow-up, the text you submit is stored with your contact details as an inquiry. These aggregate counts are available to RobotCan operations and administrators of a business linked to that card. Shared links and QR codes carry a fixed source label so we can count how people opened a card; it does not identify the recipient. A business may create separate QR links for print batches or placements. We record the batch code with a card page view, and linked business administrators can see aggregate opens by batch. A short-lived, keyed request token limits automated use.
A linked business can maintain confirmed company facts and a product catalog for the shared agent used by its AI Cards and browser-based AI Robot demo. We send those facts, product details and visitor questions to the configured AI provider to answer questions or guide customers to a product. We count product-link clicks and distinguish card from robot-demo visits, questions and inquiries. These counts show interaction with links and forms, not purchases or confirmed sales. The browser pilot does not control robot hardware.
After RobotCan links a card to a verified business, its administrators can edit a private draft, confirm its content and publish or remove the card themselves. Changes and print batch creation are logged. If you consent to contact a business through its card, your name, email and message are sent directly to linked business administrators when available. Unanswered AI questions and inquiries without a linked business go to authorized RobotCan operations for human review; operations may explicitly share them with the linked business. If you request an AI Card for your own business, RobotCan operations receive your business name, optional website, contact details and request; that request is not routed to the business featured in a sample card. Submitting an inquiry does not create a purchase.
Copying and sharing
“Copy inquiry” writes the text to your clipboard if your browser permits it. Sharing that text with a contact is your action; the website does not email it or send it to a provider.
Website requests
When enabled by RobotCan, Google Analytics records website usage such as page views, browser information and approximate location. We do not use advertising cookies or external font services. To understand whether our business-module pages help visitors, RobotCan also records a random browser identifier, a random session identifier, the page and module viewed, recommendations shown, product paths selected, calls to action used, inquiry-form starts and completed inquiry IDs. We record campaign tags, the source page and the origin of an external referrer when present; we do not place inquiry text in these usage events. The hosting environment may also record ordinary request information such as IP addresses and requested paths. RobotCan operations manages retention and contact procedures while the formal policy is being completed.
Email updates
The footer subscription form stores the email address you enter, the time you consented, the page where you subscribed and available campaign or referral information. It does not create an account. RobotCan may use active subscriptions for occasional product and AI growth updates. Each marketing update must provide a way to unsubscribe; unsubscribed addresses remain on a suppression list so they are not added to future sends by mistake.
Accounts and submitted jobs
Registration sends your name, email and password to the account service. Passwords are stored as hashes; session cookies are used for sign-in. Email verification and password reset use time-limited links. If you choose Google sign-in, Google provides the basic account identity needed to create or access your RobotCan account. In local development, verification and reset emails are written to a private mailbox directory instead of being delivered.
Formal submission stores your job description, scenario, title, contact name, verified account email and consultant request in the operational database. Active members of your customer organization and authorized RobotCan operations can access it. Organization administrators can grant colleagues access. Submitted jobs are not public and are not automatically shared with providers or sent to an AI service.
Recommendations and records
Customer messages, internal notes and audit records support manual follow-up. Internal notes and unpublished recommendations are hidden from customer responses. Published recommendations are available to the customer organization. Payment collection is not enabled on the website. We do not publish customer cases or train recommendation systems with private jobs by default.
This explains current functionality; it is not a finalized production privacy policy. Formal retention, deletion, legal entity and privacy-contact terms will be published as the service develops. Do not submit secrets or financial credentials.
